MATHEWS MEMORIAL LIBRARY
BOARD OF TRUSTEES
July 10, 2018

CALL TO ORDER: The meeting was called to order by Steve Wilson, chairman, at 5:00 p.m.
ATTENDING: Edwina Casey, Sue Jennette, Reed Lawson, Jim Pavik, Dick Pogue, Mary Sampson, and Steve Wilson. Also present were Bette Dillehay, library director, and Carolyn Taylor. Steve welcomed new members, Sue and Dick, and thanked them for agreeing to serve. He also thanked Mary for agreeing to serve as vice-chair until her term is up.
MINUTES: The minutes of the May 8, 2018 board meeting were approved as presented. Mary moved; Jim seconded.
REPORT OF THE DIRECTOR: The attached report covers the period May 8 - July 10, 2018. Also attached are the Operating Expenditures Report as of June 30, 2018, and the Activity Report in numbers and graphs for June, 2018. The Director highlighted the 2% raise that full and part time staff received in county budget negotiations and the request she plans to make to the Board of Supervisors to add $9,000 to the library budget to fund Carol McCormack two days per week in youth services overseeing reading and story time activities. MML will receive a $5,000 increase in state aid which is based on such statistics as population and county acreage. The total amount is $76,000. An accounting of how the money will be used is due in October. The question to the county administrator is whether the increase will affect the library budget in any way.
Operational expenses totaled $14,545.58. Unencumbered operating funds totaled $22,693.30. The current number of patrons is 12,056 with an average of 147 visiting daily during the two-month reporting period. Under personnel concerns, weekend, part time employee Christy Poteet was replaced by Rachel Musick.
Summer programs for youth began in early June with a concert for middle-school students performed by the Virginia Symphony Quartet. The annual Highland Games were held later in the month. The June 21st teen program featuring author William Geroux was well-received. The summer youth program, "Through the Looking Glass," began July 10 for ages 6 - 14. The weekly "Tales to be Told" is geared for ages 3 - 5. Soothin' Summer Sounds began with the Ambrosia Quartet. The rest in the three-part series is Bagels and Fralox, a Klezmer band on July 19, and flamenco guitarist Charles Moeser on August 23. All programming has an international flavor.
The Virginia World War I and World War II Profiles of Honor Mobile Tour will visit MML on Aug. 4 and 5 and be open from 10 a.m. to 4 p.m. Visitors are asked to bring personal photos to be scanned through a partnership with the Virginia State Library. The director is seeking suggestions on how to engage the community. (See attached report.)

OLD BUSINESS: None
NEW BUSINESS: The director requested amending the fax service charge from $4.00 for the first page plus $1.00 for each additional page to $3.00 per document regardless of the number of pages. Reed moved; Jim seconded. Motion was approved.
The Nominating Committee was named: Steve, Mary and Reed. Mary will chair.
Reed apprised the BOT of the role and history of the Mathews Archives. (See attached report.)
