MATHEWS MEMORIAL LIBRARY
BOARD OF TRUSTEES
January 9, 2018

CALL TO ORDER: The meeting was called to order by Steve Wilson, Chairman, at 5:00 p.m.


ATTENDING: Charles Ingram, Reed Lawson, Jim Pavik, Mary Sampson, Carolyn Taylor, and Steve Wilson. Also present were Bette Dillehay, Library Director and Molly Broderson, President, Friends of Mathews Memorial Library.


PRESENTATION: Past chairman, William F. Story, was presented a commemorative brick donated by the Friends as a thank you for his years of service as chair of the library board. It reads, "William Story Chair Trustees 2016-2017" and will be placed in the walkway behind the youth wing.


MINUTES: The November 14, 2017 board meeting minutes were approved as presented.


REPORT OF THE DIRECTOR: The attached report covers the period November 14, 2017 to January 9, 2018. Also attached are the Operating Expenditures Report as of January 9, 2018 and the Activity Report for December 2017. In addition to the financial reports attached, the Director announced the gift of two more Oriental rugs by Drs. Anne Leddy and Alexander Wilson and donations of $250 in memory of Countess Turpin. The Bibliostat grant proposal was not selected by the Institute of Museums and Library Services which required more specific outcomes. The proposal "One for All - A Community Coalition" will be resubmitted for 2019.
The staff has been charged with reviewing library goals, personal goals, ways to meet these goals and the challenges ahead. Discussions will begin Jan. 10th with implementation to begin immediately. The holiday Deck the Halls experience was well-received, particularly the youth program on "What Does Peace Feel Like?" The County Administrator requested a report on 2018 library goals and outcomes. The Director is seeking to improve relations with the schools, to expand digital expertise in general, to partner with the Black churches to record Mathews history as perceived by the Black community and to be involved in presenting The Battle of Cricket Hill in digital format during the summer commemoration. This July the youth program will be "Hello World" - a look at our planet and the people who reside on it. The library is hosting a bus trip to VMFA on January 25th to see the exhibit Terracotta Army, Legacy of the First Emperor of China. Lunch at the museum is included.


REPORT FROM THE FRIENDS: Molly Broderson announced the Friends had a strong 2017. Funding is derived from Book Store sales, Treakle grants and donations. Membership tripled and expenses were consistent. The officers for 2018 are Molly continuing as president, Mary Whitley as vice-president, and Jan Towne as secretary/treasurer. Hal Hertzler will serve as co-treasurer. The Friends are reviewing where the organization is and where it should be in five years, and in ten years. The President thanked the Director and her team for their constant support.


OLD BUSINESS: The board is asked to review Policies & Procedures Mathews Memorial Library for correctness and any additional policies needed. The Commission on World War I/World War II "Profiles of Courage" Tour has accepted MML's offer to come to Mathews August 4th and 5th of this year and will arrive February 27 to review the arrangements for the tour. It is hoped the exhibit van can be parked in front of the library. Mathews citizens will be encouraged to bring artifacts. Veterans organizations in the area will be contacted.


NEW BUSINESS: Proposed Budget 2018- 2019 The attached and approved budget is due to the county administrator by January 11, 2018. The $380,532 budget reflects no changes in salaries and associated benefits and has increases to advertising, library supplies and computer installation and maintenance, all totaling $5,500. The cover letter to accompany the proposal will suggest an increase in salaries of part-time, full-time and director positions as all are well-below standard. The board is encouraged to attend budget hearings when they are held.
